Change Orders

Change orders are a component of the change management process that describe why, how, and when changes are made to a design.

Note: Change Orders are available only in Vault Professional.

Change order states help track the progression of the change order through the change management process. The state of the change order can determine which users can affect the change order, based on the user's role. Change orders use a routing list to control which users are notified when a Change Order enters a certain state.

Change Order Pre-requisites

You must be an Administrator or Change Order Editor to create or participate in a change order.

A routing list and numbering scheme must be already be defined.
Note: The routing list may be modified after creating the change order.

Change Order Routing Roles
When a change order is created, you must specify a routing. A routing is a list of participants with pre-defined roles. Each of the six different routing roles has specific permissions and responsibilities.

Change Order Reviewer Tasks
Change Order Reviewers can view the change order, add and reply to comments, and add attachments and markups. Reviewers can also add additional reviewers to the routing.

The Approver role only allows you to approve or reject a change order. You must explicitly be given the reviewer role to add or reply to comments.

Perform Change Administrator Tasks on a Change Order in the Open State
When a change order is in the open state, the Change Administrators can edit the change order or the routing. In addition, the change administrator can submit the change order to the Work State, submit the change order and force approval, or cancel the change order.
Perform Responsible Engineer Tasks on a Change Order in the Work State
When a change order is in the Work State, the Responsible Engineer can edit the routing, as well as view, add, and reply to comments. The Responsible Engineer can also withdraw a change order from the Work State and return it to the Open State.
Perform Change Administrator Tasks on a Change Order in the Review State
In the Review State the Change Administrator can perform the same editing tasks as when the Change Order is in the Open State. Approvers can approve or reject the Change Order.

Change Administrators can close change orders that are in the Approved state.

Change Administrators can Reopen or Cancel a Change Order in the Rejected State.
